January 24th, 2010

It is difficult to find an office clerk who does not use MS Office in his or her work. Indeed, this family of products from Microsoft has become a must in every office and home computer. While office managers and secretaries mostly use MS Word, Excel is designed for those who work with number. Thus, xls files are used to make pricelists, accounting reports, all sort of financial documents etc. Imagine what problems an accountant might have if he loses Excel file or files with important figures!

As known most pricelists are made in xls format. Spreadsheets are downloaded to servers and thus prices are updated online. Losing documents is very common as sometimes we forget file locations. It is not easy to find missing Excel files, especially if you do not know much about them.

To solve such a problem, use File Search Assistant which can correctly open Excel docs and look for the keywords inside the files. The firs thing that will surprise you when you start using File Search Assistant is that the program is really very simple. However, this simplicity should not make you think that File Search Assistant will not solve its tasks.

First of all, it needs mentioning that File Search Assistant has converters which enables the program opening certain file types and thus look for keyword inside the docs. File Search Assistant can open MS Office documents, (including Excel and PowerPoint), HTML pages, Open Office files and Adobe Acrobat docs.

Use FSA to search excel files

When you have search result listed, you can preview any of them by clicking on a file. Preview function will save your time as you do not have to open file by file to make sure this is exactly the document you need. It may happen that you have 20 documents that fit into search criteria.

In case you possess additional information on the files then you can use additional search criteria. They are search by size, date and mask. Let’s review each criterion.

Search by size is only then helpful when you know approximate size of the missing files. Thus, for instance, if you are sure that the files you are looking for a particularly large or small (or maybe you know exact file size) then search by size option will certainly narrow search results.

Search by date is helpful when you know approximate date when the missing files were created, modified or accessed.

Search by mask is looking for missing file of particular type or types.
